Job Description

Opportunity at a Glance
This position includes responsibility for the front desk - greeting and directing guests and staff. Delivering mail to local contacts and shipping out UPS, USPS, Fed Ex and other outbound mail to specific locations. Additional responsibilities include maintenance/organization/oversight of facilities and related renovations/build-out and procurement of office supplies.

Responsibilities

  • Serve as the first point of contact for all guests at the front desk, welcome and direct guests, providing a helpful environment.
  • Outbound mailing of packages to HQ locations and other locations as needed.
  • Deliver mail to local contacts and mail outbound mail to HQ locations and other locations as needed.
  • Collaborate with accounts payable to ensure timely payment of invoices associated with the site or region.
  • Provide administrative support to the Facilities team as needed.
  • Order equipment based on approved ADA accommodation requests.
  • Order supplies to seminars, conferences, or other events.
  • Perform daily quality assurance checks on facility conditions.
  • Order and maintain proper levels of office supplies.
  • Manage small office moves, decoms and relocations.
  • Coordinate all maintenance and cleaning requests.
  • Oversee small furniture installations, painting and additional projects as needed.
  • Update job knowledge by participating in educational opportunities.
  • Fulfill and support internal customer requests and orders.
  • Offer supportive management for facilities and teams at specific locations.
  • Maintain a comprehensive database of work orders, furniture inventory, and related assets.
  • Participate in project close out process ensuring proper retention of documents and warranty follow up.
  • Set-up work area for new hires.
  • Maintain operations by following policies and procedures, reporting needed changes.
  • Performs other duties as assigned
  • Complies with all policies and standards

Qualifications

  • High School Diploma required
  • 1+ year experience in facility maintenance and mail service or equivalent required
  • Knowledge of MS Office Product Suite including Outlook, Excel and Word.
  • Strong customer service and writing skills.
  • Strong people skills.
  • Customer focused.
  • Ability to multi-task.
  • Strong prioritization skills.
  • Highly motivated and proactive.

Additional Information

In support of the pay transparency laws enacted across the country, the expected salary range for this position is between $17.15 and $28.18. Actual pay will be adjusted based on job-related factors permitted by law, such as experience and training; geographic location; licensure and certifications; market factors; departmental budgets; and responsibility.
