Job Description

Opportunity at a Glance

The Project Support Specialist supports the Projects & Operations Department by coordinating institutional projects, campus initiatives, and operational activities to ensure efficient execution and alignment with organizational goals. This role works closely with the Project Manager and Operations Manager to support planning, scheduling, documentation, communication, and logistical coordination across multiple concurrent projects and events.

The Project Support Specialist plays a key role in maintaining organized workflows, supporting stakeholder communication, and ensuring projects and campus initiatives are delivered on time and within established guidelines.

Project Coordination

· Assist in monitoring project deliverables, scope, timelines, budgets, and resource plans.

· Support the planning, scheduling, and execution of institutional projects and campus initiatives.

· Maintain accurate project documentation, including risk logs, procurement records, change orders, and status reports.

· Distribute project updates, reports, and communications to stakeholders.

· Coordinate project site visits and inspections to verify project conditions and progress.

· Track project activities and follow up on action items to support timely completion.

Operations & Administrative Support

· Facilitate meetings by coordinating schedules, preparing agendas, documenting minutes, and tracking follow-up actions.

· Prepare purchase orders and track procurement of materials and equipment, track invoices for payment.

· Maintain inventory records and procurement documentation.

· Assist with survey compilation, data tracking, and preparation of reports and presentations.

Events & Campus Initiatives

· Coordinate logistical planning for campus events and initiatives, including condition assessments and resource setup.

· Support planning and organization of event operations and related activities.

· Create promotional materials to promote awareness and participation in campus events.

· Maintain vendor schedules and payment tracking for the Wednesday Market program.

· Track food vendor contract renewal cycles and coordinate renewal processes.

Programs & Special Projects

· Coordinate annual submissions for awards and scholarships.

· Ensure required documentation is completed and payments are processed accurately and on time.

General Responsibilities

· Maintain organized records and ensure accuracy of departmental documentation.

· Support collaboration between Projects and Operations teams to maintain alignment and workflow efficiency.

· Provide administrative support to the Environmental Health and Safety function.

· Perform other duties as assigned to support departmental objectives.


Qualifications

  • Associate degree in Business Administration, Project Management, or a related field.
  • Minimum of two (2) years of experience in project coordination, event planning, administrative support, or a related role.
  • Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
  • Strong communication skills
  • Customer service oriented and effective at working with people
  • Proficiency in Microsoft Office Suite or similar business software.
